To add a signature in Outlook on the web, build it here and copy it, then open Settings → Mail → Compose and reply, paste it into the signature editor, switch on the toggles for new messages and replies, and save. Here is the walk-through.

Step by step

  1. In the signature generator, fill in your details, choose a layout, and press Copy signature.
  2. In Outlook on the web, click the gear icon (Settings) at the top right.
  3. Choose Mail, then Compose and reply.
  4. In the Email signature box, give it a name if asked, then click into the editor and paste.
  5. Below the editor, turn on Automatically include my signature on new messages and, if you want, on replies and forwards.
  6. Click Save.

Open a new message to check the signature appears as expected.

Keeping desktop and web in sync

Because the web and app versions store signatures separately, the simplest way to keep them matching is to paste the same signature from the generator into both. If you ever update your details, update them in the generator and re-paste in each place.

To set yours up, open the email signature generator and copy your signature.

Frequently asked questions

Does the web signature sync to the Outlook app?
Not automatically. Outlook on the web and the desktop app keep their own signatures. If you use both, set the signature up in each. Reusing the same HTML from the generator keeps them looking identical.
Where exactly is the signature setting?
In Outlook on the web, open Settings (the gear icon), then Mail, then Compose and reply. The signature editor is at the top of that panel, with toggles to use it on new messages and on replies.
Can I use an image in the web signature?
Yes, as long as the image is hosted at a public URL. Outlook on the web loads signature images from the web rather than embedding them, so paste a public link to your photo or logo into the generator.
